You will play a pivotal role in the daily operations by providing high-quality administrative and legal support, ensuring the smooth running of the department. Your responsibilities will include:
- Reception & communication: Handle overflow phone calls, manage the Legal Department’s shared phone lines and emails, cover reception when needed, and respond to general enquiries from the public, members, and potential applicants.
- Document management: Manage both physical and electronic filing systems for all legal documents, update and archive electronic files, and ensure accurate entries in our corporate database (BMS).
- Calendar & mailbox management: Proactively maintain and triage the department’s shared calendars and mailboxes, diarising appointments and ensuring timely follow-ups.
- Correspondence & reporting: Prepare legal correspondence, including emails, letters, and reports. Assist in creating Excel spreadsheets for data recording and statistic requests.
- Membership & certification support: Assist with practising certificate applications and renewals, as well as mediator accreditation assessments. Handle administrative tasks related to certificates of standing and readership matters.
- Committee support: Provide secretariat assistance for various association committees, including coordinating meetings, preparing materials, and taking minutes.
- Event coordination: Help organise the biannual ceremonies, manage invitations and RSVPs, and assist with other events as required.
- Audit & documentation: Support audit processes and assist with compiling membership materials, including briefs and documentation.
