We are seeking a proactive and highly organised Legal Administrative Assistant to support our a practice group within a national firm team. This is a dynamic role suited to someone with strong attention to detail, excellent communication skills, and a passion for client service.

Key Responsibilities:

  • File & Document Management: Assist with opening new client files, conducting conflict of interest checks, and maintaining both physical and electronic records. Prepare legal briefs and documentation, ensuring accuracy and adherence to firm style guides.
  • Client & Correspondence Management: Serve as the first point of contact for clients, manage incoming calls, and handle routine inquiries. Sort and respond to correspondence and emails as needed.
  • Administrative Support: Manage diary schedules, coordinate meetings, prepare agendas, and arrange travel. Assist with PowerPoint presentations and document creation.
  • Billing & Time Management: Support the team with accurate time recording and monthly billing, ensuring deadlines are met.
  • System & Process Management: Maintain practice management systems (e.g., FileSite, Practice Evolve), create and update spreadsheets, and help improve internal processes and systems.
  • Training & Development: Assist with team training sessions and professional development initiatives.
  • Office Coordination: Keep the office environment clean, safe, and fully stocked with necessary supplies and equipment.

Essential Qualifications & Skills:

  • Strong knowledge of Microsoft Office (Intermediate to Advanced level)
  • Experience in administrative roles
  • Familiarity with legal terminology and procedures
  • Ability to manage diaries, travel arrangements, and complex communication systems
  • Experience with Practice Evolve and FileSite is an advantage but not essential
  • Exceptional communication skills (both verbal and written)
  • Highly organised, detail-oriented, and able to manage multiple tasks simultaneously
